File import using getquin

The new file import feature combines PDF import, CSV import and AI import into a single option.

Important note: The File Import feature replaces the previous individual import options: PDF import, CSV import (including Trade Republic CSV) and AI-based document import. From now on, there is just one standard option for this: File Import. This is available to you in both the web app and the mobile app.

Simply upload your document – whether it’s a PDF or a CSV – and getquin will take care of the rest.


How does the file import work?

Behind the scenes, getquin distinguishes between two detection methods:

1. Local detection (fast, free, no token usage)

Documents that we are already familiar with and can reliably process ourselves will continue to be processed locally. These include, amongst others:

  1. PDF securities statements from many supported brokers

  2. Our own CSV template for importing data

  3. Der CSV-Export von Trade Republic

This detection takes place locally; no tokens are used, and processing is correspondingly fast.

2. AI support (automatically applied to unreadable files)

When importing files, there is a toggle for AI support, which is enabled by default. If getquin is unable to read an uploaded file locally, AI support kicks in automatically and AI parsing runs in the background to increase the chances of a successful import. Tokens are only used when the AI parsing is actually running (see section below).

The toggle only applies to the specific import process you are currently starting. There is no global setting for this in your account. If you do not wish to use automatic AI parsing for an import, you must disable the toggle before uploading the file. We recommend leaving it enabled so that you have the best possible chance of a successful import.


Supported files

  • PDF (z. B. Kauf-/Verkaufsabrechnungen, Konto- und Wertpapierdepotauszüge)

  • CSV/Excel-Exporte von Brokern oder Banken (inkl. Mapping-Funktion)

Für die meisten Broker aus Deutschland, Österreich und der Schweiz kann getquin Wertpapierabrechnungen lokal auslesen. Ist dein Broker nicht dabei oder das Dokument nicht eindeutig lesbar, greift automatisch die KI-Unterstützung (sofern der Schalter beim Import aktiviert war).

Wichtig: Es können nur einzelne Kauf- oder Verkaufsabrechnungen ausgelesen werden. Quartalsabrechnungen oder komplette Depotauszüge können nicht importiert werden.


What is being imported?

1. Transactions

  1. Purchases and sales of securities (date, ISIN, number of shares, price)

  2. Currency details for the transactions

2. Positions

  • Current portfolio holdings (ISIN, name, number of shares, average price, transaction date)

Mapping is carried out primarily via the ISIN. Missing ISINs may result in incomplete or incorrect imports.


What is not imported?

  1. Pure cash movements (deposits and withdrawals, interest, internal transfers)

  2. Cryptocurrencies

Note: Dividends are automatically recorded in the system as gross payments and do not need to be imported. Furthermore, historical transactions do not need to be adjusted for share splits, as getquin automatically takes these into account.


Trade Republic CSV-Export

From 15 April 2026, you can export your transaction history directly from the Trade Republic web app and upload the CSV file to getquin, including your settlement account. To do this, select Trade Republic as your broker in the File Import section, where you will find the ‘Bulk Import’ option.


Here’s how to do it

The AI assistance switch is enabled by default when you start any import. If you do not wish to use it, disable it before uploading your file; once you have uploaded it, disabling it will no longer have any effect.

Create a new portfolio:

  1. Select "Add Account"

  2. Select "Investments"

  3. Choose your broker

  4. Select "File Import"

  5. Optional: Disable the AI assistance switch

  6. Upload file

  7. Carry out the import

Update existing portfolio:

  1. Select "Add transaction"

Token system for AI support

Tokens are only used when AI parsing is actually running – that is, when your file could not be read locally and the relevant option was enabled during import. When AI parsing is running, getquin uses a token system in which token consumption depends on the reading effort required: how complex or difficult to read the document in question is. The AI support is not limited to a fixed number of transactions.

A well-structured CSV file generally uses fewer tokens than a disorganised PDF containing many different transaction types.

The number of tokens available depends on your subscription:

  1. Free: 10,000 tokens (enough for approx. 3,000 transactions)

  2. Premium: 30,000 tokens (enough for approx. 9,000 transactions)

  3. Wealth: 50,000 tokens (enough for approx. 15,000 transactions)

Once the token allowance has been used up, AI support will not be available again until the next billing period. The tokens are automatically reset on the first day of each new month; you do not need to do anything manually.

Important: This figure reflects the amount of time the AI takes to read the file, not the number of transactions successfully imported. If the AI is parsing a file that ultimately cannot be read correctly, tokens will still be consumed for this attempt.

Documents that are parsed locally (without AI parsing) do not use any tokens.


Privacy & Security

  1. Local detection: This takes place locally; files are not stored on our servers. Only transaction data (date, exchange rate, etc.) is retrieved; no personal data is collected.

  2. AI processing: Uploaded documents are sent to OpenAI via an API for analysis. By using the Business API, the training or storage of your data by OpenAI is expressly excluded.

  3. Encryption: Files are encrypted during transmission (TLS). Temporary copies are deleted once processing is complete.

  4. Purpose: The data will be used solely for the purpose of extracting relevant financial information, and not for advertising purposes.

FAQ

The import for my broker isn’t working automatically – what should I do now?

Check whether the switch for AI support was enabled during the import. If it was enabled, getquin should also be able to process files that cannot be read locally via AI parsing. If it was disabled, you can restart the import and leave the switch enabled this time before uploading. If you’re unsure whether your broker is supported, please feel free to contact our support team.

What does the AI support switch do, and is it a permanent setting?

The toggle is enabled by default and applies only to the specific import operation; it is not permanent or account-wide. There is no global setting for this. You must therefore manually disable it again for each import if you do not wish to use it, and you must do so before uploading the file. After that, any changes will no longer affect that particular import.

If the switch is enabled and getquin is unable to read your file locally, AI parsing will run automatically in the background to increase the chances of a successful import. Only in this case will the token quota be used, depending on the effort required to read the file.

I need a CSV template for my import

You can find the template here. Please export your file as a CSV before uploading it; this will increase the success rate.

How do I format bonds correctly for import?

Divide your current nominal value (number of units) by 100. So 100 units of nominal value becomes 1. When calculating the relative price of a bond, enter the percentage as a whole number without converting it to a decimal. For 99 per cent, you should therefore enter 99 in the CSV, not 0.99.

Are the tokens reset automatically?

Yes, the tokens for AI support are automatically reset on the first day of each new month. Your allowance will then be fully available to you again.

I can no longer edit my existing alternative assets, and I can no longer record rental income for properties. What can I do?

This may happen as part of the transition to the new alternative assets.
We expect to automatically migrate existing alternative assets to the new type in the background, probably by the end of October 2026, so you won’t need to do this yourself. If you don’t want to wait that long, you can simply recreate your existing alternative assets. Please note that app version 2.260.0 or later is required for the new alternative assets.
